C-12Workflow Automation
How many steps in your process still depend on someone remembering the next one?
Not more software. The steps you already have, connected so nothing waits for a reminder.
The short answerquotable
Workflow automation at AiS LABZ connects the steps, decisions and systems already in use inside a business so work moves forward without manual hand-offs. We map the process, then build the triggers, routing, approvals and updates across your CRM, email, spreadsheets, helpdesk and finance tools, adding an AI decision step only where a fixed rule is not enough. Every workflow ships with an approval point and an audit trail.
Where work stalls
Your team is not the problem. The process relies on them remembering.
Manual data entry
The same information typed into the CRM, the spreadsheet and the invoicing tool.
Hand-offs that wait
A task is done, and the next person finds out when someone sends a message.
Approvals in inboxes
Requests sit in email until the approver notices, with no record of who said yes.
Disconnected systems
Tools that never talk to each other, bridged by copy-paste and good intentions.
Status nobody can see
Finding out where a request is means asking three people.
Repetitive reporting
Collecting, formatting and sending the same numbers every week.
Exceptions that break the rule
A simple automation fails the first time an input looks different.
Onboarding by checklist
New clients and staff set up through a document someone follows by hand.
How a workflow runs
A trigger fires. Each step happens. A person approves where it matters.
Human approval can be added at any step. Every run is logged.

Connect the steps. Lose the chasing.
The process you already run, with the hand-offs, approvals and updates happening on their own.
What we can automate
Workflows we build most often.
Each starts with the process as it is today, then removes the manual steps one at a time.

- Quote and proposal generation from a request
- Order processing across store, warehouse and finance
- Approval routing for spend, leave and contracts
- Client and staff onboarding sequences
- Ticket classification and assignment
- Data synchronisation between systems
- Scheduled reports and KPI summaries
- Invoice reminders and payment follow-up
- Internal requests: IT, HR, facilities
- Exception alerts when something looks wrong
- Document generation and e-signature hand-off

Human where it matters
Automate the busywork. Keep the judgement.
Sensitive, unusual or high-value steps pause for a person. The rest runs.
- 01Approval points are designed in, not bolted on
- 02Unusual inputs route to a review queue
- 03Every run is logged with inputs and outputs
- 04Failures alert a named owner
- 05Rules are documented so your team can change them
What this improves
What changes when the process runs itself.
Less repetitive admin
Data entry, chasing and formatting leave the team's day.
Faster hand-offs
Routing, first responses and follow-ups happen in minutes, not days.
Fewer errors
No re-keying, no missed updates, no lost messages.
More volume, same team
More requests handled without manual effort rising at the same rate.
Example workflow / revenue

Common questions
The practical version.
No. Most steps are rules: if this, then that. We add an AI decision only where a rule cannot cope, such as reading an email to work out what is being asked. Using AI where a rule would do makes the workflow slower and harder to trust.
HubSpot, Salesforce, Pipedrive, Google Workspace, Microsoft 365, Slack, Notion, Airtable, Xero, QuickBooks, Shopify, Zendesk and most tools with an API. Orchestration runs on n8n, Make or Zapier, or custom code where volume or security requires it.
Rarely. The point is to connect what you already use. We recommend a change only when a tool has no way to integrate, and we say so before any work starts.
Yes. Approval points can sit before any step: sending a message, changing a record, issuing a refund, placing an order. The approver gets the context and a one-click decision; the workflow waits.
Monitoring with alerts to a named owner, a monthly review of failures and exceptions, and changes made as your process changes. Workflows are documented so your team is never locked in.
